Welcome to Africa Prime Experiences, where every journey is designed with care, safety, and authenticity. Before embarking on your unforgettable adventure, please take a moment to review our terms and conditions. These guidelines ensure a smooth, transparent, and enjoyable experience for all our valued guests.

Cancellation Policy

The Africa Prime Experiences cancellation policy applies to the package offered, once a deposit has been paid and the reservation confirmed.

Canceling a reservation or failing to join a tour will result in funds being retained by Africa Prime Experiences as described below:

  • Written cancellation 30 days or more before departure: 20% of the cost of the reservation of the canceling party will be retained by Africa Prime Experiences, and the balance will be refunded.
  • Cancellation between 14 and 29 days before departure: 50% of the package cost will be retained by Africa Prime Experiences.
  • Cancellation less than 14 days before departure: 100% of the full package cost will be retained by Africa Prime Experiences, and all outstanding payments must be made immediately.

If the canceling party can find a replacement no less than 14 days before departure, and the replacement completes this booking form individually, no funds will be retained. However, if no replacement is found within 14 days before departure, a 100% cancellation penalty will apply to the canceling party.

Africa Prime Experiences and its agents reserve the right to terminate the participation of any person on the tour at their discretion and with immediate effect.

Cancellation by Africa Prime Experiences

Africa Prime Experiences reserves the right to cancel any arrangement due to operational, safety, or unforeseen circumstances.

In such cases, clients will be offered either:

  • A suitable alternative arrangement, or
  • A full refund of amounts paid for the canceled services.

No refunds shall be payable for force majeure events (including but not limited to natural disasters, pandemics, government restrictions, political instability, or other uncontrollable circumstances) once the tour has commenced.

Refunds for canceled services will be processed within 14–30 days, depending on supplier reimbursement timelines.

No partial refunds will be issued for unused services once the tour has started.

Cancellations & Refunds

We understand that plans can change. Cancellations and refunds follow the policy outlined at the time of booking. Refunds will be processed according to the timeline and terms specified in your invoice. In certain cases, flexible rescheduling options may be available depending on the package and travel season. Africa Prime Experiences aims to offer fair solutions while maintaining our commitment to service quality and local partners.

Travel Documents

Travelers are responsible for obtaining all valid travel documents, including:

  • Passport (valid for at least 6 months after return date)
  • Entry visa (if required)
  • Vaccination certificates or special travel permits

Africa Prime Experiences can guide you through visa and entry requirements but is not responsible for losses or delays resulting from incomplete or invalid documentation. Travelers must obtain all required visas before departure.

Africa Prime Experiences is not liable for denial of entry resulting from invalid documentation or failure to comply with immigration regulations.

Meals Policy

Upon booking, clients are required to submit any dietary requirements, including allergies and food restrictions.

Africa Prime Experiences accommodates most dietary needs such as vegetarian, vegan, and gluten-free through close collaboration with our partner lodges and camps. In remote locations, menu variety may be limited.

Early notification is essential to ensure proper meal arrangements.

Additional charges may apply for special dietary requests that require custom preparation. Clients are encouraged to reconfirm their dietary requirements with lodge staff upon arrival.

Photograph Policy

Africa Prime Experiences may take photographs during activities for promotional purposes, including use on our website, brochures, and social media platforms. If you prefer not to be photographed, please inform us prior to your trip. We are committed to using all images respectfully and ethically, showcasing authentic experiences while protecting client privacy.

Health & Safety

Your safety is our priority always.

Our professional guides are highly trained in first aid, wildlife behavior, and emergency response. We kindly ask that guests:

  • Follow all safety instructions during game drives and activities.
  • Notify us in advance of any medical conditions, allergies, or dietary needs.

While we take every precaution, Africa Prime Experiences is not liable for accidents or incidents resulting from negligence or failure to follow safety advice.

We promise adventure, not risk — your wellbeing comes first.

Itinerary Changes

African nature is beautiful but unpredictable. To ensure the best experience, itineraries may be adjusted due to:

  • Weather conditions
  • Wildlife movement and park regulations
  • Flight delays or road conditions

Whenever changes are necessary, equivalent alternatives or experiences of the same quality will be provided. Our goal is to maintain the magic of your adventure — always.

Liability

Africa Prime Experiences operates under strict safety and ethical standards. However, we cannot accept responsibility for:

  • Personal injury, illness, or death
  • Loss or damage to personal property
  • Delays or expenses arising from external factors beyond our control (e.g. weather, airline schedules, political events)

Guests are strongly encouraged to purchase comprehensive travel insurance covering medical emergencies, cancellations, and personal belongings.

Privacy & Data Protection

Your trust matters to us. Africa Prime Experiences collects and stores only the information necessary to process your booking and provide personalized service. Your data is protected in line with our Privacy Policy and never shared without your consent.
