Booking & Payments

Booking Conditions

Bookings should be made as early as possible to guarantee the desired tour, itinerary, and departure date. Reservations can be made by e-mail, telephone, or by using the booking form on our website.

Bookings made by telephone will be reserved for five (5) working days with no obligation. To confirm a telephone reservation, the client must submit the completed booking form by e-mail or post together with the required deposit within five (5) days. Failure to do so will result in automatic cancellation of the reservation.

A booking is fully confirmed once we receive a 25% non-refundable deposit in our bank account. The booking and our confirmation constitute a binding contract between the client and Africa Prime Experiences.

The client must be over 18 years of age. If the booking is made on behalf of a group, the client confirms that he/she has the authority to sign a contract and make commitments on behalf of all other persons listed in the booking form.

It is the client's responsibility to inform all other passengers about the booking and the company's terms and conditions. All clients must read the terms and conditions on our website. By making the first payment, the client confirms that he/she and all other passengers listed in the booking form have read, understood, and agreed to all terms and conditions. All passengers agree to the payment conditions whether they have directly signed the contract or not.

Before booking, clients must ensure that all passenger details are correct, including full names, nationalities, and dates of birth. Any costs resulting from incorrect information will be borne by the client.

How to Book Your Safari with Africa Prime Experiences

1. Inquiry

You make an inquiry after reviewing our guides and trip samples and having an idea of your preferred safari.

You may request either a ready-made package or a tailor-made safari, including your preferred travel dates and group size.

2. Safari Consultation

We consult with you to design the best safari plan based on your needs. Consultations are conducted via direct messaging, phone calls, or email — whichever is most convenient for you.

3. Availability & Provisional Reservation

  • We check availability for group tours and lodge accommodations.
  • If available, a provisional reservation is made.
  • If not available, we propose suitable alternatives for your approval.
  • Once agreed, reservations are confirmed.

4. Payment & Deposit

An invoice and payment instructions will be sent to you:

  • 10% deposit — Camping safaris
  • 30% deposit — Lodge safaris
  • 30% deposit — Kilimanjaro routes & Mount Meru
  • Luxury and tailor-made safaris may require a higher deposit

5. Booking Confirmation

Once the deposit or full payment is received, we will send you:

  • Official booking confirmation
  • Detailed itinerary
  • Confirmation voucher
  • Travel guide

Payments can be made via secure bank transfer, online payment platforms, or authorized Africa Prime Experiences representatives.

All listed packages include the specified services. Additional experiences such as balloon safaris, cultural tours, extra nights, and special activities can be arranged upon request at an additional cost.

Tip: Book early to secure flights, lodges, and park permits, especially during peak seasons.

Frequently Asked Questions

Why is there a 3.5% charge?

This charge covers bank processing fees in Tanzania and is not imposed by Africa Prime Experiences.

Why should I use a credit card?

Card payments are fast, secure, and provide instant booking confirmation. There are no hidden charges beyond the 3.5% bank fee.

How can I confirm my payment?

After completing payment on PesaPal, you will receive an online receipt. Please email a copy of the receipt to confirm your booking.

What if my transaction fails?

Contact your bank to authorize international payments to Tanzania. Some banks block international transactions for security reasons. Once authorized, you may retry the payment.

Group Payments

Separate payments for individuals within a touring group are accepted. Individual payment links will be provided.

All communication and financial coordination must be handled through the group leader, who remains financially responsible for the entire booking.

Payments & Invoices

All payments and installments must be completed before the tour start date.

After any bank or wire transfer, clients must email a copy of the payment receipt. Confirmation will be sent by email.

Any transaction-related charges (including card surcharges, bank transfer fees, and online payment fees) are the responsibility of the client.

Currency

All quotations are in US Dollars (USD) and Euros (EUR).

Cash payments are preferably in USD, but EUR and Pound Sterling (GBP) are also accepted.

Bank transfers can be made in any of the above currencies.

We recommend carrying US Dollars issued from 2009 onwards, as card facilities are limited in remote safari locations.
